Quick reference: sending a fax from a Windows application

Use this quick reference to send paperless faxes from Windows applications using Communication Director DesktopFax.

This guide provides a step-by-step walkthrough of the faxing process and includes a downloadable version. Bookmark this link and download the PDF at end of page for a training tool when onboarding new users or a quick daily reference.

Whether you're new to the platform or just need a refresher, this guide has you covered.

Step 1: Print you document

  • Open your document and choose 'CDS DesktopFax' from your printer list

  • Click Print

Step 2: Log in

  • A browser window will open Communication Director Desktop Fax

  • Log in

Step 3: Add recipients

  • Verify you are on the 'Send' tab

  • Select a phone book

  • Click the 'arrow with underline' icon to add people or groups you want to fax

Step 4: Check your document

  • Confirm your document appears in the fax content area and is selected

  • A checkmark in the 'Include' column indicates it's selected and ready to send

Step 5: Add a cover page

  • Check the box next to the recipient’s name in the Cover Page column

    • If the box is already checked and grayed out, a cover page is required.

  • Choose a cover page from the template menu

    • If one is already selected and grayed out, that is the template you are required to use.

  • Add a subject and note if needed

Step 6: Send your fax

  • Preview your cover page or fax content to make sure everything looks good

  • Click the 'Send' icon in the bottom right

Sending a fax through DesktopFax is fast, efficient, and eliminates the need for traditional paper-based processes, physical fax machines and MFPs. By following these six steps, you’ll ensure your fax includes all the required information and is ready for successful delivery.

If you are interested in more advanced features and functionalities with DesktopFax, look into configurations for shared phone books, requiring a cover page, and emailed or printed confirmation pages.
